How It Works: One Document, Start to Finished

This page walks a single document through the lifecycle — from arrival to the moment the work it represents is finished and on the record. The example is a supplier contract, but the same five stages apply to invoices, applications, claims, and case files.

Stage 1

Intake: arrival is a system event, not a favour

The contract arrives as an email attachment, signed and scanned. In a manual process it would sit in an inbox, then get saved to a shared drive under whatever name someone chose. In the lifecycle, arrival is intake: the document is captured the moment it lands, given an identity, and queued for processing alongside every other arrival — attachments, uploads, scans, and system feeds all enter the same way.

Nothing is filed by hand, and nothing waits on a person noticing it. From this point on, the document's location and status are always known.

Stage 2

Classification & extraction: the document is read

Next, the processing engine — MaxxOwl™ SI on the MaxxLogix platform — reads the document. Classification comes first: this is a services agreement, not a quote or a statement of work. The engine decides from the document's layout, language, and content — not from a file name or a folder somebody chose.

Extraction follows: the parties, effective date, term, renewal and notice periods, and the contract value are lifted out as structured data. Skewed scans and multi-page attachments are handled as part of the read, and every extracted value carries a confidence level that the next stage puts to work.

Stage 3

Validation: data is checked before it is trusted

Extracted data is only useful if it can be trusted, so the lifecycle checks it before anyone acts on it. Dates are tested for consistency — a renewal date that falls before the start date does not pass. Required fields must be present. The parties are matched against the vendor record the organisation already holds, so the contract joins the right history instead of starting a duplicate one.

Anything that fails a check becomes an exception: a missing signature page, an unreadable clause. It leaves the straight-through path and is routed to a person together with the document, the extracted data, and the specific reason it was flagged.

Stage 4

Repository & workflow: filed, then moved

The validated contract is filed in Outcome Repository™ — not as a bare file, but with its type, its extracted data, its status, and its history attached. Retrieval from that point on returns the document with its context: what it is, what it says, and what has happened to it.

Filing is not the finish. The contract moves through workflow: any remaining review or approval is a task in a queue in Outcome Workspace™, decided with the document and its data side by side, and recorded with a name and a timestamp. Its key dates are part of its record, so the next step is visible before it falls due.

Stage 5

Outcome: the finish is recorded, not assumed

When the last approval lands, the lifecycle closes. The contract is executed and on the record, and the outcome — what got done with it — is written alongside it: who approved it, what was extracted and checked, how long each stage took, and what, if anything, needed human judgement along the way.

That record is the point. It is what Outcome Analytics™ reports on: volumes by document type, exception rates, stage-by-stage cycle times, and the outcomes each process produces. Improvement stops being a guess, because the lifecycle keeps its own evidence.

The other front door: forms and portals

Not everything arrives as a document. A request submitted through a form or a portal — MaxxLaunch™ on the MaxxLogix platform — arrives as structured data already, and joins the same lifecycle at the validation stage. From there both doors are treated identically: checked, filed, routed, worked, and recorded. Documents and data, one lifecycle.

Same lifecycle, every document type

Every document type your operation runs on can be walked through the same five stages. The rules, matches, and approvals change from process to process; the lifecycle doesn't. That consistency is what makes the outcomes comparable — and what makes a platform different from a pile of point tools.
